We are looking for an exceptionally bright, well organized and self-motivated Executive Assistant to support our CPO. In this role, you will assist a key leader in the company to drive and deliver our hyper-growth goals.

The Executive Assistant to the CPO is someone with an earnest desire to play a supportive and strategic role. This person represents the CPO to internal and external customers so a confident, polite, business savvy, and pleasant demeanor is required.  

This exciting role requires superior attention to detail, great organization and prioritization skills, the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with leaders is important. A good sense of humor is a must, as is the ability to be flexible and change direction seamlessly. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround. You’ll need to take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups. Exceptional judgment and problem-solving skills are a must. The Executive Assistant acts as an extension of the HR team, and can build effective working relationships inside and outside of the organization.

CORE RESPONSIBILITIES:

  • High level of interaction with the CPO, Anaplan executive team, and Anaplan HR team.
  • Read all of the material that the CPO approves and review for accuracy, grammar, punctuation.
  • Management of complex calendars and scheduling with diplomacy and discretion.
  • Scheduling cost effective air/hotel/ground transportation. Create detailed travel itineraries (including smooth transitions between time zones). 
  • Able to proactively manage the needs of the CPO
  • Submit Expenses
  • Organize, execute, and assist with HR team activities (staff meeting agendas, All-Hands meetings, on-sites/off-sites, team social & team building events, etc.). 
  • Ability to react with appropriate levels of urgency and diplomacy to situations and events that require quick response or turnaround. 
  • Coordinate closely with Finance, Recruiting, Facilities, and other senior executive's EAs within Anaplan.
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company.
  • Handle special projects as assigned by the CPO


REQUIREMENTS

  • Minimum of 5 years of related business experience as an EA to a C-level executive, preferably in a SaaS organization.
  • Software savvy a must. Microsoft Office Suite, Mac OS, various SaaS solutions, time tracking and record keeping systems, databases, and more.
  • Social media experience required, Twitter, LI, Instagram, etc.
  • Event planning and management experience.
  • Ability to multi task and complete items based on hard deadlines.
  • Detail oriented, with exceptional organizational skills.
  • Aware of the global DNA of our company and communicates well with people of many different cultures.
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company.
  • Has a sense of urgency and prioritization; Understands how to prioritize items based on importance.
  • Thrives in a fast-paced environment with the flexibility to adjust.
  • Excellent writing, speaking, and grammar skills required.
  • Communications are clear, thorough, and specific, and you must follow through.
  • Bachelor’s degree preferred, but equivalent work experience will be considered.
  • Key personality traits: flexible, resourceful, timely, polite, easy-going, sense of humor, independent, decision maker, high level of integrity, serious about confidentiality, does not believe or participate in drama or gossip.
