Job Description: Office Coordinator

Office Coordinator

We are looking for an energetic and driven individual to assist the office manager in running our rapidly growing and very busy office. This position includes everything from picking out the office snacks all the way to helping the executives prep for the board meetings. If you are a highly organised effective communicator who is looking for an exciting challenge with an amazing company then this job is for you!

 

RESPONSIBILITIES

    

  • Manage front reception, including ensuring compliance to all security procedures while maintaining a positive experience for all visitors to our workplaces
  • Support global initiatives designed to improve the maturity level and scalability of the Workplace Services function
  • Identify and source vendors to assist with core functions (food stocking, beverage stocking, maintenance, badge access, security, etc.), prioritizing national or regional vendors where possible, in order to ensure scalability
  • Work with Workplace Services Manager & EMEA Lead and Director, Global Real Estate and Workplace Services to negotiate workplace services contracts with favourable terms
  • Prepare purchase requisitions and monitor spend and schedules for all workplace services
  • Coordinate with building landlord and service providers as required
  • Ensure maintenance and smooth operation of the facility
  • Manage and monitor performance of Workplace Services vendors to ensure they are provided in a timely fashion and within budget
  • Work with global team to establish and consistently use a ticketing system for Moves, Adds, Changes to ensure trackability and scalability
  • Plan an event calendar and sponsor a variety of events from happy hours to reading clubs to charity walks to ensure events that appeal across our employee base
  • Manage Workplace Services so they are provided in a timely fashion and on budget
  • Support ready cadence of engagement and outreach to help improve workplace culture and display our corporate values in all actions
  • Work across departments (workplace services, security, procurement, legal, accounting, finance) as required
  • Ensure compliance to all workplace and corporate processes and policies
  • Additional projects as assigned by Workplace Services Manager & EMEA Lead and Director, Global Real Estate and Workplace Services
  • Assist with travel arrangements
  • Book offsite meetings/catering
  • New Hire On boarding
